Making an Offer


Script for verbal offer:

“Hi, ________! Do you have a few minutes to talk? Great! I’m so excited to call you, because we’re hoping you’re interested in the ____ role. I am calling to extend you an offer of $___ (per hour – hourly or per pay period – salaried) contingent on passing the final background checks for the job. What are your thoughts?”

It’s OK if they need to take their time. Ask if they have any concerns or final questions. Answer their questions honestly, and if it feels like a bad fit, it is OK to just let them know maybe it isn’t the right thing after all.


Send the Offer Letter in Paycom

  1. Find the application. If necessary, TRANSFER APPLICATION to the right requisition using the green “Application Actions” button.
  2. Once you have transferred (if needed), go to the right side of their application screen and choose the correct application.
  3. Click on the “Application Actions” button and select “OFFER”
    • Select “Yes – Reject” on the pop-up. (Reason? Type “AA” and choose other job at Arbor Acres.)
    • Select Offer Letter Template (top button) on next pop-up. Arbor Acres Offer Letter UNLESS healthcare shift differentials.
    • Fill out the > Anticipated Start Date (next HR Orientation Date). > Offer Expiration Date: 3 days in future. > Pay type: Hourly or Salaried; > Pay Frequency = Bi-Weekly; > Hours per Pay Period = 80 if FT, 40 hrs per wk, or double the weekly amount/normal per pay period amount for any other employee.
    • Salary or Pay Rate = Hourly rate for hourly staff or pay period amount for salaried staff (to calculate pay period from annual, just divide by 26 and round up to the next penny.)
  4. Scroll to the bottom and send on for approval!
  5. HR will review and send to candidate, then will begin the background check by sending candidate an email to get started.

There is a folder called the HR New Artist Checklist on Bulletin Board. This has a spreadsheet in it where we keep you up-to-date on the status of the employee’s progress.
